What is considered an excused absence?
- The following are absences that will be excused by the Office of Student Affairs (with required documentation):
- Illness - medical documentation required (note from doctor, emergency room verification, etc.)
- Funeral - funeral program, obituary notice
- Jury Duty - must bring in documentation of jury service or jury summons form.
- Mandatory Court Appearance - must bring in a copy of court papers clearly stating date of appearance.
- School Sponsored Activity - must have a letter from advisor stating group name, purpose, day and time for the absence.
- Military Service
- Post-Secondary School Interviews - (ie: graduate school, law schools) with appropriate documentation
- The following are absences that will possibly be excused by the Office of Student Affairs (with documentation):
- Auto Problems - documentation required
- Child Care Needs
- Mandatory Employment Obligations - letter from employer stating reasons and why it is mandatory
- Weather
- The following are absences that will not be excused by the Office of Student Affairs.
- Job Interviews (does not include job fairs through ASC)
- Non-ASC Competitions (ie: State Fair, Stock Shows, etc.)
- Illness (ie: common cold, flu) without doctor's excuse
- Incarceration
- Weddings
- Church Related Trips
It is up to the professor's discretion to let you make up any work missed by an absence, even those excused by the Office of Student Affairs. Please talk to your individual professors concerning any missed classes.
Please visit the Office of Student Affairs (RH 234 or 587-7221) to discuss any absences. Exceptions may be made based on individual situations.
How come I am on Academic Probation/Suspension?
- Students are placed on academic probation if their Adams State College GPA falls below a 2.0 after attempting 12 credits. Students remain on probation until they either 1) attain a 2.0 overall GPA or 2) have attempted 36 or more credit hours at ASC with a cumulative GPA of below 2.0, at which time they will be placed on academic suspension for one semester.
Following the one-semester suspension, students may resume their studies on probationary status, with their academic progress monitored each semester until they achieve a cumulative GPA of 2.0 or above. Students readmitted following a semester of suspension may be suspended again if they earn a term grade point average below a 2.0.
Can I attend classes the following semester if I am placed on Academic Probation?
- If you are on Academic Probation, you may register and attend classes the following semester.
Can I attend classes the following semester if I am placed on Academic Suspension?
- No, you can not attend classes if you are on Academic Suspension.
How can I appeal my Academic Suspension?
- Students can appeal the suspension standing decision for the following reasons:
- Student's term GPA is above a 2.3 but cumulative GPA falls below a 2.0
- Significant personal hardship
- To appeal an Academic Suspension, the student must write a letter to the Office of Student Affairs explaining the circumstances that has caused their cumulative gpa to be below 2.0 and what is going to be changed in the future to ensure academic progress.
How do I process a Complete Withdraw from ASC?
- If a student wants to withdraw from Adams State College, he/she will need to adhere to the following:
- On-Campus Students
- If the student is on-campus, he/she will need to come to the Office of Student Affairs to start the process. The student will received three copies of the withdrawal form.
- The student will then take the forms to various offices on campus (Housing if applicable, Financial Aid, Business Office & Records) and get the drop approved at each office. Each office will keep one copy of the form.
- The Business Office will let the student know if they are eligible for a tuition refund when the forms are taken to that office.
- The Records Office will keep the forms once the student has had all of the offices sign them.
- Off-Campus Students
- If the student is in an off-campus program, he/she will need to send a letter with the following information provided: reason for withdrawing, date, social security number and signature. Letters, emails and faxes are acceptable forms of notification.
- The Student Affairs Office will circulate the withdrawal forms to the various offices on campus to complete the drop.
- The Business Office will process a tuition refund if eligible.
When is the last day to process a Complete Withdrawal?
- The last day to process a Complete Withdrawal is listed on the Academic Calendar each semester.
What do I do if I have a disability?
- If a student has a disability, accommodations can be made for the student. The student should do the following:
- Contact the Student Affairs Office or the Counseling and Career Center to arrange an appointment to discuss the disability and provide documentation of the disability.
- Once the documentation is accepted, the student will discuss with a counselor the accommodations that will be needed.
- The student will be responsible for presenting an accommodation letter to each of their faculty and discussing the accommodations needed.
- The student must meet with a counselor each semester in order to receive new accommodation letters.
Do I have to turn in my immunization records and what shots are needed?
- Every student under the age of 24 is required to provide immunization verification.
- The immunizations that Adams State College are required to verify is the Measles, Mumps and Rubella (MMR) shots. Every student must show verification of receiving at least two MMR shots.
